The development and introduction of new services or of a management information system are instances of a project. A project is different from the continuous or day-to-day processes of a company. It is confined within cost, time, and quality constraints. As a consequence to it a special team of expertise is appointed to manage a project.</p>
<p>Project management as the name suggests is all about nurturing or handling a project. This is done with the aid of requisite knowledge about the project, skills and techniques to complete the project within fixed tenure and resources. Project management involves step-by-step procedure along with a prudent approach towards the project.</p>
<p>At first the concerned organization prepares an outline of the project. This includes knowing and writing down what the project is all about, the cost involved in the project, the amount of resources needed. A thought is also given to the tentatively earliest possible time within which the project can be completed. Once the budget and other nitty-gritty’s about the project are known the organization looks for sponsors and a project manager. If the individual sponsoring the project is skilled and efficient enough, he too can be its manager.</p>
<p>The project manager then appoints a team of people to work under him. Together with the team the manager of the project prepares a project plan. This plan is not just about the cost and time factors but also regarding the manner in which the project is to be initiated and covered up later. This requires lot of discussions and settlements between the project manager and the team of employees.</p>
<p>The implementation stage of a project is where the project is put to execution as decided. While executing a project its progress and managing changes need to be carefully monitored. At this point in order to harness the resources well the project manager might feel the need to expand his team. For instance marketing of the product may be suffering due to more heed being paid to its manufacturing or due to lack of good marketing executives. This may also involve contacting new companies and organizations. Thus a set of people needs to be readily appointed to take charge of this. However then it is always at the onus of the manager to equip the new members with a proper and complete knowledge of the project. In some cases training may also be imparted.</p>
<p>After all these stages are over, the project comes at its stage of completion. This is known as the close down stage. Here the project manager safely handles the completed work in the hand of the client or the customer. Once a project is finished and handed over, a project review meeting should be held to study the work done, encourage if something good was discovered during the project and also learn from the mistakes made. These should also be documented and later published in warts and all. This acts as a great help in future assignments</p>

They play an important role in the school environment. These people are not only essential to keeping the building and grounds in top shape and presentable to the public, but also keep the various physical systems in the school in working order. These may include heating &amp; cooling, water, plumbing, and electrical systems, and sometimes even technology. They may also put up walls, plow the snow, line the football field, repair the drinking fountains, and put together classroom furniture.</p>
<p>Your custodial and maintenance workers can help you in a number of ways. They certainly can keep your room and hallway in tip-top shape. Many times, custodians will pick up and collect pencils and pens from the halls, and will drop them off in your room if they know you need them.</p>
<p>And they will often help you out if you have requests. In many schools, their contracts and union will dictate what physical jobs can be done by school personnel other than maintenance/custodial workers. So if you’re having trouble with your room heating unit, your clock is not synchronized with those around the school, or your door is squeaky, you can usually get prompt service if they know you and know you appreciate their time and efforts. If you are well liked by the maintenance staff, your requests may often move up the priority list. And if you want those extra ‘little touches’, such as a shelf put up in your room, or document frames mounted on your walls, such favors are often the reward of your time spent building positive relationships.</p>
<p>Appreciation for their work can be as simple as an honest and genuine ‘thank you’. Often times, including the custodial and maintenance staff in get-togethers and school celebrations goes a long way. Some groups will purchase donuts or treats for the custodians during the year. Other groups put on dinners or cook-outs. If your students bring in any extra treats, be sure to send some down to the maintenance staff.</p>
<p>If you take the time to get to know these hard-working people, and build positive relationships with them, you will definitely reap the rewards. Not only will you have handy people willing to help you out when you need it, but you may even find pleasant, friendly faces in and around your school.</p>

<p>Political factors that can affect a Six Sigma project include personal resistance to change, inflexible company policies, and incompatibility with existing organizational methods and goals. Not surprisingly, all of these factors also affect business processes of any kind. They are not unique to Six Sigma. This is one of Six Sigma&#8217;s strengths: realistically acknowledging the way politics work in an organization. Six Sigma is not just number crunching. It understands the importance of and encourages the involvement of people throughout and at all levels of the organization working together toward a common goal. Six Sigma encourages planning, communication, and openness about processes, procedures, and information.</p>
<p>Many people see change, any change, as loss—a loss of their power or a loss of the security of the old way of doing things. Thus, people are prone to defend the old way, out of habit and out of unease. They wonder how change will affect them and what exactly happens behind the scenes and if they don&#8217;t know, become apprehensive. This is a problem that can be overcome through communication. Six Sigma successes require clear and open communication at all levels. Any change in an organization will meet some resistance, either intentional or just from inertia. When management can effectively communicate that it is behind that change and can communicate the positive aspects of the change, resistance and “turf” politics can be countered and overcome.</p>
<p>Another problem is people who disregard the value and power of Six Sigma and consequently, they are reluctant to support Six Sigma projects. To the uninitiated, Six Sigma may appear similar to or simply an evolution of other quality programs. There have been so many quality improvement fads over the years. It is not surprising that people are now a little jaded. Others may see Six Sigma as solely another cost-cutting or productivity enhancement fad. This is a short-sighted view. Six Sigma is neither a fad nor just another quality initiative. It is a “way of life.” It is a multi-level, cyclical movement toward continual process improvement. The quality improvement fads sell themselves as cheap and easy quick fixes. The reality is that there are no quick fixes to significant process improvement. Six Sigma understands that; it is not a simple quick process. However, the right Six Sigma training and information will help people to understand that Six Sigma is significantly different; it is a robust continuous improvement strategy and process.</p>
<p>Once projects are begun, Six Sigma projects can become a battle of wills for control over which strategy, approach, or tool is used. Team meetings can devolve into arguments over which measurement to use, how it will be calculated, which charts will be generated, whether to use DMAIC or DMADV, etc. Six Sigma is not about making things more difficult. It is about using common sense to make things easier. It is certainly about recognizing that there is more than one road to improvement and more than one right answer to a problem.</p>
<p>In overcoming political problems, the leadership of senior management is critical. Successful Six Sigma programs are built on a solid organizational foundation. The organizational structure and system needs to be clearly identified and communicated to the entire organization to successfully implement Six Sigma Quality. Becoming a Six Sigma organization doesn&#8217;t just happen. Planning and training goes into setting up a successful Six Sigma organization. Employee roles and responsibilities must be established and clearly communicated to all. For many companies successful in Six Sigma, the key factor has been the direct involvement of their top leaders.</p>
<p>Six Sigma is about getting everyone involved. A Six Sigma project forms a team of people who work together to identify problems and develop solutions. Such teams are not isolated teams rearranging the world for everyone else to live in. These teams are serving the organization by employing the skills and tools they have learned to increase quality and reduce defects. Instilling the team concept along with expert training will go a long way toward solving potential political troubles in your organization.</p>

<p>Appraisals</p>
<p>Traditionally, the annual appraisal is the only meeting during the year when an average or better worker will meet their boss to discuss performance. People with poor performance can and do have a regular audience with their manager; sometimes on a weekly basis. Your appraisal form is &#8220;the&#8221; document that is held on file as a record of how good, bad or indifferent you might have been. For some, this may be the only time in the year that they receive plaudits and even these may be guarded comments because of the close link in everyone&#8217;s mind between appraisal and pay rise despite repeated denials. Too much praise might raise expectations of a large pay increase. Poor performers, however, frequently receive far more than their fair share of management attention throughout the year.</p>
<p>If paying attention to our employees is one of the greatest motivators, when did we decide that high performers need less motivation than poor performers? Of course they don&#8217;t! Many of the top performing companies in the world have introduced regular coaching and mentoring sessions to supplement the appraisal system and to give all employees a regular, sometimes fortnightly, opportunity to talk about their job, their performance against their objectives, their motivation and their aspirations.</p>
<p>Coaching</p>
<p>Often you can see situations where managers act as spectators. Their behavior plus the words they use along with their body language would not be out of place at a soccer or baseball match. They would be sitting in the stands eating a hot dog, throwing down a beer and belting out criticism at the players (their staff) on the field. There is almost no connection between the manager and the staff other than they just happen to be sitting in the same building.</p>
<p>This image is used to point out the profound difference between the &#8216;manager as coach&#8217; and the &#8216;manager as spectator&#8217;. A coach works individually with players, helping them to overcome setbacks and obstacles to progress forward. They know and understand how their players respond to different types of motivation and how their family life and health impact their performance.</p>
<p>The majority of coaching is done on a very frequent basis. You simply don&#8217;t wait for the big match to deliver your advice to the team in the way the &#8216;manager as spectator&#8217; does. You work very closely with everyone in the team, understanding the strengths and weaknesses of your defense and your strikers before they are tested under pressure.</p>

The same applies to most businesses although it is especially important in the cleaning industry because of the potentially high turn over of staff that is somewhat traditional in this field.</p>
<p>We go into many businesses in carrying out our cleaning and as the current trend is for cleaning to take place during normal working hours we see many of these in operation on a day to day basis. Some of these are large organisations with well over 100+ people working on the site others are smaller concerns with perhaps 5 or 6 people employed. Each manager has their own method of managing their staff and some of the places are happy environments where the individuals actually enjoy going to work, others are places full of grumbles where the people cannot wait to go home.</p>
<p>By and large the atmosphere in the workplace seems to be a reflection of the managers. It never ceases to amaze me how some managers talk to their staff or not, because quite a few have decided that e-mailing them is better despite the fact that they may be in the next office. It is written down therefore it is done and no longer my problem seems to be the attitude. From a personal point of view I could not tolerate this.</p>
<p>One of the reasons we go to work with others is for the social interaction and this is being gradually eroded in the modern work place. When I did work in such an establishment it became commonplace for people to send out memos. Memos had their place, if a meeting was being arranged for example where time and place and agenda needed to be specified. However I concluded that well over 90% of the memos sent out to me were not informational but requesting me to do something.</p>
<p>This I used to take as very bad manners and throw most of them in the bin until the persons concerned were forced into actually talking to me. Discussions we used to have around this issue always centred on how more efficient it was to send out requests on bits of paper. To me it seemed that it was depersonalising the work place and increasing the amount of paper that was being shuffled around. Now it is used as a method of everybody covering their backs in case something goes wrong. It may be me being ‘difficult’, and it may be necessary to shuffle all this paper around but I just find it sad that the workplace has deteriorated to this level in many instances.</p>
<p>How do we keep our cleaners happy? We treat them as human beings who deserve the right to be spoken to correctly. Please and thank you seem to be very under used words in the workplace nowadays. We find that a please and a thank you goes a very long way in maintaining staff morale as does actually talking to them rather than leaving messages.</p>
<p>It is very noticeable that the good environments to work in, where people are happy, the bosses actually communicate with their staff on a human level and the word thank you is heard quite a lot.</p>
<p>Just remember how you feel when some body says thank you to you when you have done something for them and conversely how you feel when there is no response!</p>
